Church Administrator (Permanent PT)

First Baptist Church Woodstock is looking for an Administrative Assistant to fill a Permanent, Part-Time position, working on a consistent, but flexible, schedule. The successful applicant would be available to work 12-15 hours per week, spread across three or four shifts of three to four hours each week from late morning to early afternoon, occasionally being available for special events such as church meetings. Given that this is a position within a church, it is important that the applicant be a person of faith and understand the unique polity and practice of Baptist congregational life.

The successful applicant will have 2 years of experience in an office environment and competence in standard office equipment and skills. He or she will be able to manage their own time effectively, efficiently completing tasks and roles defined by the Board of Directors without continuous supervision. He or she will be a strong communicator, able to write effectively, and be a welcoming presence toward visitors to the office. He or she understands people of different generations and life experiences, demonstrating a positive attitude, kind demeanour and empathetic spirit. He or she will be organized, able to accurately maintain a file system of church documents both in the office and online, and generate calendars, bulletins and other materials that keep the church running smoothly. He or she will participate in the promotion of church activities, preparing flyers and familiar with how to promote events on Social Media.

Requisite Skills

  • Office Software – MS Office, G Suite, Zoom, Social Media, etc

  • Reception – Manage correspondence: email, mail, phone, social media and drop-in visitors

  • Filing and organization – Maintain files, calendar and contact database, schedule building use

  • Familiar with church structure and governance, able to follow lines of communication and authority

  • Able to write clearly and concisely

  • Able to operate and maintain standard office equipment: copier, printer, Meridian phone system

  • A police check will be required in accordance with our Plan to Protect children

Typical Duties

  • Edit and produce print materials: bulletin, newsletter, flyers and posters

  • Send notices and reminders of church events via mail, email, website and social media

  • Ensure in-pew and foyer materials are well-stocked and available for Sunday mornings

  • Edit and produce reports for Board meetings and Church meetings
